NIHB Medical Transportation Travel Guidelines

Charter and Commercial Flights

Personal Information

Patients must ensure their personal information is accurate when registering at their health center. Personal identification information such as name and date of birth must match exactly with the identification being used for medical travel.

Transport Canada Regulations & Pre-Flight Requirements

In 2020, Transport Canada implemented new pilot duty time regulations, which have significantly impacted our Kingston charter flight schedule. To help ensure that both charter and commercial flights run on time, we ask that all clients, escorts, and staff business travellers follow the guidelines below.

Pre-Flight Requirements

  • Arrive at the airport at least 1 hour prior to flight departure
  • Bring proper identification such as:
  • One piece of valid government-issued photo identification showing your name, date of birth, and gender, or,
  • Two pieces of valid government-issued identification, with at least one showing your name and date of birth, such as:
    • Passport
    • Canadian provincial or territorial driver’s licence
    • Canadian provincial or territorial health card
    • Certificate of Indian Status (Status Card)
    • Firearms licence
  • Note, only physical ID cards are accepted. Electronic or digital copies are not valid for travel.

Luggage

  • Luggage must not exceed 25 lbs
  • Exception: staff business travellers or clients travelling with medical equipment
  • Medical transportation drivers will only load and unload luggage into the MT vehicle, watercraft, or helicopter.
  • Travellers are responsible for moving their luggage to and from the vehicle, hotel, hostel, hospital, terminal, watercraft, and helicopter.
  • Exception: travellers who are elderly or have mobility issues and are without an escort will receive assistance.

 Additional Notes

  • For patients being medevaced, your escort must ensure you are travelling with proper ID
  • For patients transferring from one flight to another, should you choose to leave the airport, you must return on time. Late returns will result in denied boarding, and the client will be responsible for arranging and paying for return travel

Accurate records help prevent delays during check-in and boarding, especially under Transport Canada’s current regulations.

We appreciate your cooperation in helping ensure a smooth travel experience for all passengers.
